JTL-Wawi: Import a DataScan Stocktake CSV
You count your stock with DataScan on your team's phones and want the counted quantities in JTL-Wawi. The route is a CSV file and JTL-Ameise, JTL's import tool: DataScan writes one row per EAN with the counted quantity, and the Ameise import Artikel > Artikeldaten overwrites the stock of exactly those items. This guide shows the settings on both sides. JTL's labels stay in German, the way JTL-Wawi shows them.
Before you start: what this import changes
- Only items in the file change. What that means depends on the file. A DataScan export holds only scanned items, so every other item keeps its stock. A count sheet from the template holds every listed item, and an item nobody counted has an empty Counted stock: delete those rows (filter on empty) before you save the CSV, or recount them. Never import rows with an empty stock.
- This is not the stocktake dialog. The import sets the stock directly. JTL's guide describes Inventur buchen and the Differenzliste only for the dialog Lager > Inventur, where counted quantities are typed into the column Ist-Bestand; it describes no file import for that dialog. If you need those records, type the counts from the count sheet into Ist-Bestand there instead.
- Keep your records. Keep the DataScan exports and the merged count sheet, and ask your tax advisor which record of the count you need.

Step 1: set up DataScan for the JTL import
- Count with Single Value Scan Single Value Scan records a barcode plus a typed quantity: scan the item, count, type the number.
- Switch on Summarize Quantities In the Single Value Scan settings, Summarize Quantities writes one row per barcode with the columns Barcode, Total Quantity, Scan Count, First Scan and Last Scan. An item scanned twice in the same session becomes one row with its total.
- Rename two column headers Set Barcode Column Header to
EANand Total Quantity Column Header toLagerbestand, the column names in JTL's example import file. Rename the Total Quantity header, not the Quantity header: a summarized export uses the Total Quantity one. - Export CSV with semicolons Choose CSV as Preferred Export Format, set CSV Delimiter to semicolon and keep Include Headers in Export switched on, so the file starts with a header row.
- Note the decimal separator The iPhone app writes quantities with a decimal place:
14.0, or14,0with Decimal Separator set to Comma (the default follows the phone's region). Android writes14. Whatever your phones write, set the same decimal separator in the Ameise import. - Copy the setup to every phone Export a settings file under Import/Export Settings and import it on each counter's phone, so every file has the same columns.
Step 2: count, export and merge
Each counter scans their zone and exports the session as CSV: through the share sheet, by email or to an FTP server. With one counter, that file is ready for JTL-Ameise. With several counters or zones, the same EAN can appear in more than one file. With the setting below, the import overwrites stock instead of adding to it, so give it every EAN once, with its total: paste all exports into the free count sheet template. On its count sheet, delete the rows with an empty Counted stock (filter on empty) and the empty rows below your list, delete every column except EAN and Counted stock, rename the Counted stock header to Lagerbestand and save the sheet as CSV. Excel separates the columns with your region's list separator, so open every file in a text editor before the import and check two things: the columns are separated by semicolons, and every EAN shows all its digits (not 4,00638E+12).
Step 3: import with JTL-Ameise
- Back up and stop the JTL-Worker JTL's rule for every JTL-Ameise import: back up the database and switch off the JTL-Worker first.
- Choose the import Open JTL-Ameise, go to the Import area and choose Artikel > Artikeldaten.
- Load the file Close the CSV in every other program, then load it with Datei laden. Set the delimiter to semicolon, tick Kopfzeile vorhanden and set Quote-Zeichen to
": DataScan puts every value in quotes unless Quote Fields Only When Needed is switched on. Set the decimal separator (Dezimaltrennzeichen) to match the file: point for14.0, comma for14,0. - Assign the columns In Datenbankfelder zuordnen, double-click the pink fields in the column Spalte in Importdatei: assign the file's EAN column to the EAN field and its Lagerbestand column to the Lagerbestand field.
- Update existing items only Set Importart to Nur vorhandene aktualisieren: items in the file that JTL-Wawi does not find are then ignored instead of created.
- Identify items by EAN Set Identifizierung der zu aktualisierenden Artikel anhand to EAN / Barcode. JTL warns: if the criterion matches several items, all of them are updated with the same values.
- Overwrite the stock Set Aktualisierung vom Lagerbestand to Alten Lagerbestand mit neuem überschreiben. The other option, Neuen und alten Lagerbestand addieren, would add the count to the old stock.
- Dry run, then import Click Import starten. In the window Importvorgang, run the test run (Testen / Trockenlauf) first and read the report and the tab Warnungen; then start the real import.
